Goedhart is digitising the processing of incoming invoices and saving time and costs.
Digitising and optimising the accounts payable process
Automation
Goedhart previously processed incoming invoices from its suppliers manually: invoices arrived digitally, were printed, manually recorded and stamped, scanned, and then submitted for approval. Goedhart wanted to digitise this process and make it more efficient. ‘We wanted to phase out all manual actions and ensure that invoices arrive digitally and are processed automatically,’ says Raymond Datema, Head of Construction Market Administration at Goedhart. ‘Anchr, our trusted software supplier for our accounting system (Anchr's Financials) and our POS and retail systems for years, provided the ideal solution,’ adds Marco Van Driel, Financial Director at Goedhart.
Anchr's Financials meets Invoice portal
Upgrade of the accounting system
‘Thanks to our strategic partnership with Factuurportal, we were able to offer Goedhart a suitable solution,’ says Michel Petrusma, Sales Director Netherlands at Anchr. ‘We integrated Anchr’s Financials, Goedhart's existing accounting system, with Factuurportal's digital invoice processing platform.’ Thanks to the various modules and functionalities of Financials, the electronically submitted invoices can be booked and digitally approved smoothly. Factuurportal, in turn, was integrated for the digital submission of invoices.’ Both systems work excellently together today.
Efficiency and cost saving
Only advantages
‘By linking Factuurportal to the existing accounting system, Goedhart ensures that invoices are delivered digitally,’ says Rob Klaver, director at Factuurportal. ‘This minimises the number of manual actions required for processing invoices’. Raymond Datema sees numerous benefits: ‘Invoices are now processed faster and more efficiently. As a result, suppliers are paid on time, and we always have a clear view of our cash flow because we have a clear overview of outstanding invoices and payment obligations’. Additionally, the risk of human errors and mistakes is reduced,’ adds Marco Van Driel. ‘Internal control has also been improved as a result. By sharing digital documents and having real-time insight into the approval process, we no longer have to deal with floating paper invoices and can communicate and collaborate more effectively. And by streamlining the process, we have been able to reduce administrative costs’.
